Workday for
the people who
see patients.

Clinicians don’t fit the way most HR systems think about a job: several sites, several rates, and pay that moves with the work they do. We ran Workday from the inside at a multi-site healthcare provider. Now we help clinic groups and physician practices get it right.

What we hear

Three things clinic groups tell us.

Each has a usual cause. Turn one over.

Pay

“A clinician’s paycheck is wrong, and nobody can say which part of the system got it wrong.”

Insight

→

Often caused by…

Five parts of Workday each hold a piece of one shift, and no one owns the whole path.

We’d check first

One wrong paycheck, traced back through every part that touched it.

Productivity

“wRVU pay is worked out in a spreadsheet, then keyed into payroll by hand.”

Insight

The productivity numbers live in another system and never reach Workday on their own.

We’d check first

Where the numbers come from, and what it would take to bring them in.

Licenses

“A license lapsed, and we found out after the shift was worked.”

Expiry dates are recorded, but nothing acts on them.

Who is told, and how long before the date.

Clinician pay

One shift. Five parts of Workday.

Paying a clinician correctly means five parts of Workday agreeing about one shift. When they don’t, it shows up in a paycheck.

We’ve set this up end to end, across all five.

ONE NIGHT SHIFT

Core HR

The job, the site, and the rate that goes with them.

Time tracking

The hours worked: nights, weekends, call.

Absence

Leave taken, and what it does to the count.

Benefits

Eligibility that moves with the hours.

Payroll

One paycheck, right the first time.

An illustration of where clinician pay crosses Workday, not a client’s setup.

What makes it hard

Pay that adds up.

Three things make clinician pay harder than anyone else’s, and we have set up all three.

Shift differentials.

Nights, weekends and holidays, each at its own rate, following the hours wherever they are worked.

More than one job or rate.

One clinician holding more than one role, site or rate, including per-diem work alongside a regular job.

Productivity pay.

Pay that moves with the work done, most often measured in wRVUs.

What you get

The pay rules, written down in plain words.

Each rule set up and tested against real pay periods.

Documentation your team can run it from.

Productivity pay

Out of the spreadsheet.

Many clinicians are paid partly on productivity, most often measured in wRVUs: work relative value units, a standard measure of the work in a visit or procedure. The numbers usually start life outside Workday.

In the work we did in-house, they were first worked out outside Workday and loaded in, and later brought in by integration. Our aim is always integration, and the whole thing inside Workday wherever it can be.

WHERE PRODUCTIVITY PAY LIVES

01

Where most start

In a spreadsheet

Worked out by hand and keyed into payroll. Every pay period is a risk.

02

A first step

Loaded into Workday

Still calculated outside, but it arrives in one load, and Workday holds the plan and the payment.

03

Better

Integrated

The numbers come straight from the system that records the work. Nobody re-keys anything.

04

Where possible

Inside Workday

The plan, the calculation and the payment in one place.

Who this is for

Clinic groups and physician practices.

We work best with multi-site clinic groups (urgent care, primary care, outpatient) and with physician groups and specialty practices that are already live on Workday.

This is work we did from the inside before we consulted on it. We know what a wrong paycheck costs you with a clinician.

How we work →

A fixed first step

Start with
one question.

Pick the one pay or staffing problem that bothers you most. In a short, fixed engagement we find out why it happens and hand you this: what we found, what we’d do, and in what order.

One question, a fixed length and a fixed price, both agreed before we start. You keep the findings whether or not you hire us for anything else.

Review findings

Sample

The question

Why are night-shift paychecks wrong at two of our sites?

01

Do first

The night rate is tied to the site, not the shift.

What we found

Two sites were set up later and never given the night differential. Night shifts worked there pay the day rate.

What we’d do

Move the differential to the shift, so it follows the hours wherever they are worked.

02

Do next

Per-diem shifts pick up the wrong job.

What we found

A clinician with two jobs clocks in under the first one listed, so per-diem hours are paid at the regular rate.

What we’d do

Make the job a required choice at clock-in for anyone who holds more than one.

The pay calendar. It looks like a timing problem and isn’t.
